ACCOMMODATION - ROOM RESERVATION PROCESS

The link to Travel Plan hotel reservation portal will be provided to all participants once their congress registration request with ISF has been confirmed and finalized.

Travel Plan requires a payment of the entire stay upon submitting the hotel reservation request. Please note that a minimum stay of two nights is required.

ACCOMMODATION - CANCELLATION POLICY

Cancellation requests must be sent in writing to ΕUROSTAR SA-Travel Plan/Congress and Events Division. Cancellation costs will depend on date and time cancellation request has been received.

Until 5 February  2013 -  (12:00 h -GMT)	EUR 40 administrative costs
From 5 February 2013 (12:01 h - GMT) until 15 March 2013 (12:00 h - GMT)	EUR 40 administrative costs and 1 room night*
From 15 March 2013 (12:01 h - GMT) until 15 April 2013 (12:00 h - GMT)	EUR 40 administrative costs and 2 room nights*
After 15 April 2013 (12:01 h - GMT) and no show	no refund

ACCOMMODATION - BOOKING CHANGES

In case of request for additional nights,  rate and booking will depend on the hotel availability at time of request.

In case of request of reduction of your stay (reducing number of overnights) following fees apply:

Until 15 March  2013 - (12:00 h -GMT)	no charge if total stay remains 2 nights or more
From 15 March 2013 (12:01 -GMT) until 15 April 2013 (12:00 -GMT)	no charge if total stay remains 3 nights or more
After 15 April 2013 -(12:01 h -GMT)	no refund

Room nights* meaning the room rate including taxes and breakfast.

Refunds whenever applicable will be processed after the end of the event. Credit card and bank charges are borne by the client.

Pre and Post Tours

In order to confirm any booking, full payment in advance is required, fully refundable in case of any written cancellation received 20 days prior the tour/excursion booked date (for multi day excursions, 20 days prior the 1st day of operation for the booked excursion)

-For any cancellation OR change between 19 days to 15 days prior the first day of the tour /excursion, cancellation fees equal to 30% of the total cost of the tour /excursion applies

-For any cancellation OR change between 14 days to 7 days prior the first day of the tour /excursion, cancellation fees equal to 60% of the total cost of the tour /excursion applies

-For any cancellation OR change within 6 days prior the first day of the tour /excursion and/or non shows, full cancellation fees applies – the total cost of the tour/excursion

A written notification of any cancellation or change is necessary to be sent to TRAVEL PLAN. Refunds will be effected within one month after the end of the ISF World Seed Congress (credit card or bank charges will be deducted)

LIABILITY AND INSURANCE

EUROSTAR SA Travel Plan is not able to take any responsibility whatsoever for injury or damage to persons or property during your stay in Greece. You are, therefore, kindly requested to take out your own insurance.
